Position Title:             Education and Employment Program Assistant
Supervisor:                 Director of Grants and Data
Status:                         Full-time (40 hours per week), hourly, non-exempt
Pay:                             $14.00 per hour

Journey’s End Refugee Services, Inc. is a refugee resettlement and immigration services provider for the Western New York Region. Journey’s End works to assist newly arriving refugees to learn English, find gainful employment and avoid dependency on social services.

Job Description:
The Education and Employment Program Assistant will report to the Director of Grants and Data and work closely with the Director of Educational Programs and the Director of Employment. The position provides administrative support to the employment and education programs; and may include some direct support of ESL and TASC Prep students and employment clients.

Primary Responsibilities:

  • Provide administrative support to the Journey’s End education and employment programs, including file management, data entry and assisting Program Directors and Grants Managers in completing reporting and billing for a variety of funding sources. 
  • Responsible for scheduling weekly student intakes, conducting intakes, performing enrollment testing, student placement, and ongoing retesting.  
  • Assist with employment intakes for new clients.  
  • Maintain and review student and employment client files to ensure files are in line with contract(s) and grant requirements.  
  • Assist in tracking program progress toward contract goals.
  • Serve as point of contact and resource for students regarding school closures, schedule, and other service referrals to community partners, as necessary.
  • Assist the Director of Educational Programs in developing and coordinating field trips, volunteer opportunities for students, guest speakers, job club, outreach engagements and other events.
  • Order and maintain classroom supplies.
  • Drive clients and use agency vehicle as necessary. 
  • Other duties as assigned.  


  • Highly organized and able to work in a fast-paced environment.
  • A four-year degree and fluency in English are required.
  • Strong written and verbal communication skills and acute attention to detail.
  • High proficiency in Microsoft Excel, Google Calendar, and online database systems is required.
  • Self-directed and able to work in a team environment.
  • Preference will be given to candidates with experience working with youth or diverse populations.
  • Driver’s license required.

Preferred Skills:

  • Preference given to bilingual/multilingual candidates
  • Basic understanding of Microsoft Excel PivotTables
  • Best Plus 2.0 test administrator certification
  • TABE administrator certification
